Wine Shop Owner App: Know Today's Sale and Stock From Anywhere (2026)

You are not at the shop, and you still know today's sale and stock. That is the whole job of a wine shop owner app. It puts the counter on your phone, so you do not have to ask anyone what happened today.

Most owners in UP and Haryana who run a shop through staff do not have this. They have a phone call at 10 pm, a photo of a slip, and the words "sab theek hai".

This post shows what you should be able to see on your phone every day, how to read it in two minutes, and the three questions to ask your staff when a number is off.

Why a phone call to the shop never gives you a number

Think of the owner with a job in Noida or Gurugram who runs one shop through two staff. Or the son or daughter who manages the family shop from another city. Both call the shop every evening. Both get an answer. Neither gets a number they can check.

Staff can only tell you what is in front of them. In UP that is the parcha, the day's handwritten sale sheet. In Haryana it is the register and the notebook next to the galla. From these, you get one of three replies.

The first is a photo of the parcha. It shows what was written down, not what was billed, and you cannot read the small writing on a phone screen anyway.

The second is a rounded number. "Aaj lagbhag chalis hazaar." The Rs. 1,800 that would have told you something is gone inside the rounding.

The third is "sab theek hai". This usually means nobody has checked.

None of the three answers the questions you have. How much was billed today, and in which category. What is on the shelf right now, brand by brand. How much cash is in the galla, and does it match the bills.

This is the gap a liquor store software built for the counter closes. Every bill made at the shop becomes a number you can see from anywhere, at the moment it is made. The phone call stops being the source. It becomes the follow-up.

The four things you should see on your phone every day

A wine shop owner app earns its place by showing four things without anyone sending them to you.

  1. Today's sale. The total first. Then the split by category, such as IMFL, beer and wine, and country liquor where you sell it. Each bill also carries the login of the person who made it.

  2. Stock on the shelf, by brand and pack size. The closing stock after today's bills and today's purchases. Not the stock from last count. The stock right now.

  3. Cash in the galla against billed cash. What the bills say the cash sale was, what the staff counted at close, and the difference between the two. UPI and card sit next to it as separate lines.

  4. The daily report on WhatsApp in the evening. One message with the sale, the cash and the stock movement, so on a busy day you do not have to open anything at all.

The order matters. The sale tells you how the day went. The stock tells you whether the shelf agrees with the sale. The galla tells you whether the money agrees with both. The evening report ties the three together in one place.

A wine shop management software that bills at the counter already holds all four numbers. The owner's phone view is only the screen that shows them to you.

How to read it in two minutes

You do not need to study the screen. You need a fixed routine, done at the same time every day. After the evening report lands is a good time. The next morning over tea works too.

Minute one is the sale. Look at today's total next to the same day last week. A Tuesday against last Tuesday, not against yesterday, because the days of the week sell differently. Then look at the category split. If the total is down, one category is usually carrying the drop. If one category is down, note which staff were on the counter that day and ask them first.

Minute two is stock and cash. Look for any brand that is close to running out, and any brand whose stock fell more than its bills explain. Then look at the galla difference. Zero is good. A small random number is change. A number that repeats is a method problem.

Then stop. Decide one thing only: do I call the shop tonight or not. Most nights the answer is no, and that is the point. You checked, you know, and you did not have to ask.

Three questions to ask staff when a number is off

When something does not look right, ask with the number in hand. A specific question gets a specific answer. "Kya hua aaj" gets "kuch nahi".

The sale is lower than the same day last week. Ask which category sold less, and whether anything was out of stock. The split will already point at the category. The staff can tell you if a fast brand ran out at 7 pm, if the shutter went down early, or if the evening rush was more than one person could serve. Each of those has a different fix, and only one of them is about the staff.

Stock moved without a bill. Ask which bottles went out today without a bill, and why. The common answers are a breakage or a leaking bottle that nobody recorded, a bottle billed under the wrong brand or pack size, a purchase invoice that was never entered, or a transfer to another counter that was not written down. Each of these is a mistake in the record, and the record is where you fix it.

The galla does not match. Ask what left the drawer today and why. A bank trip, an expense, change money for the morning. Then ask whether any bill was cancelled after the cash was taken. Most gaps are mistakes and method, and the nightly cash counter close is its own subject, covered in our post on closing the galla.

Ask the same three questions every time. Staff learn fast that the number comes before the call, and the record gets cleaner on its own.

When you have more than one shop

A four-shop owner in Noida does not have two minutes per shop. He has two minutes in total. So the same four numbers need to sit on one screen, shop by shop, with the gaps on top.

The question changes. It is no longer "how was today". It is "which shop needs a call". One shop's total is down against last week. One shop's galla is short again. One shop has a fast brand below two days of stock. You call that shop and leave the others alone.

This only works if each shop bills under its own staff logins, and stock transfers between shops are recorded as transfers. Otherwise a bottle that moved from one shop to another looks like a loss in one and a gain in the other, and the view lies to you.

How BottleShop puts the shop on your phone

BottleShop bills at the counter in under one second, keeps billing when the internet drops, and syncs on its own when it returns. Everything the counter bills shows on the owner dashboard, and the dashboard opens in the browser on your phone. There is no separate device to carry, and nothing for the staff to send you.

The Essential plan sends a daily WhatsApp report to the owner every evening. It covers cash drawer management, so the counted cash sits next to the billed cash at close. It covers daily and business reports, inventory and stock transfer, and unlimited users, so each staff member bills under their own login. For UP shops the daily category-wise registers and the monthly MST stock report come from the same bills. Plans start at Rs. 25,000 a year, about Rs. 70 a day.

If you are away most days, the Business plan adds the two things that make the distance smaller. The first is WhatsApp low-stock and stockout alerts, so a fast brand running out reaches your phone before a customer walks away. The second is owner approvals on WhatsApp OTP. A discount, a bill cancellation, a cash withdrawal or a price change does not go through until you approve it from your phone. The shop keeps running. The four things that change the money wait for you.

Everything else the system does is listed on the features page. If you want to see your own shop this way, ask for a demo.

Frequently Asked Questions

What should a wine shop owner app show me every day?

Four things. Today's sale as a total and by category, with the login on every bill. Stock on the shelf by brand and pack size, as it stands right now. Cash in the galla next to the cash the bills say you should have. And a daily report on WhatsApp in the evening, so you do not have to open anything.

Can I see today's sale without calling the shop?

Yes, if the shop bills on a system that shows the owner view on a phone. Every bill made at the counter becomes a number you can see from wherever you are, at the time it is made. The call to the shop then becomes a follow-up about a specific number, not the way you find out what happened.

How do I know if the stock on the shelf matches the system?

Compare the stock the system shows with a physical count of a few fast brands once a week. If the two agree on the fast movers, the rest is usually fine. If a brand's stock fell more than its bills explain, ask what went out without a bill. Breakage, a wrong brand billed and a missing purchase entry are usual.

What if my staff are not comfortable with software?

Billing at the counter is the only thing staff do, and it takes under one second a bill. There are no reports for them to make and nothing to send you. The owner view, the evening WhatsApp report and the alerts come to your phone on their own.

Does the owner view work when the shop's internet is down?

Billing at the counter continues fully offline, so the shop never stops. Your phone view shows the last synced numbers until the shop is back online, and then it catches up on its own. Once the sync is complete, the reports show the full day.

Can I see several shops in one place?

Yes. Each shop bills under its own staff logins, and the owner view shows every shop on one screen with the same four numbers for each. Stock transfers between shops are recorded as transfers, so a bottle moved from one shop to another does not look like a loss. You call only the shop that needs it.
